Update to the online registration application: FAQs

1. Why is the registration application being updated?

The Commission is committed to a policy of continuous learning and development, taking on board the feedback that we have received from the more than 4,500 applicants who have already used the system.

In keeping with this ethos, the implementation of an updated registration application form allows the Commission to introduce a more user friendly and intuitive version of the application, supporting applicants in completing the form.

2. When will the update happen?

The updated version of the online registration application is expected to go live towards the end of April 2016 (exact date to be confirmed as soon as possible), when it will replace the current application form.

The link to the updated form, available on the Commission’s website and issued to you as part of the call forward notification, will not change.

However, applicants called forward before the update takes place, may have to issue themselves with a new password to access the updated form. This is a simple process, and can be completed by using the Generate a new password button on the front page of the application.

3. What changes are you making?

The updated online application form will remain fundamentally the same as the current form in terms of its content – the same information and documents will be requested. However, the overall look of the online form will change and the flow of questions will be different.

This means the Commission’s current registration guidance will remain an important support for all applicants, both before and after the update.

However, applicants are warned that information saved on applications which have been started, but not submitted, before the update goes live, will be lost. Those organisations will have to begin their application again, using the updated form. That is why the Commission is strongly encouraging applicants already called forward for registration to apply before 31 March 2016.

4. Can I see a paper or online copy of the updated form in advance, so I know what to expect?

Online screenshots of each page of the updated registration application form will be available in the Registration support section of the Commission’s website as soon as they are available.

5. I have saved an application but not submitted it yet – what can I do?

Information saved on applications which have not been submitted before the update goes live will be lost and the organisations will have to begin their application again, using the updated form.

We would therefore strongly encourage you to complete and submit your application before 31 March 2016 if possible.

Please keep an eye on our website for notifications of when the update will take place.

6.  I am not ready to complete my application before 31 March 2016 – what can I do?

The updated version of the online registration application is expected to go live towards the end of April 2016 (exact date to be confirmed as soon as possible), when it will replace the current application form.

If your application deadline falls after this date, you will still be able to apply for registration after this date using the updated form. 

The link to the updated form, available on the Commission’s website and issued to you as part of your call forward notification, will not change.

However, you may have to issue yourself a new password to access the updated form. This is a simple process, and can be completed by using the Generate a new password button on the front page of the application.

Please note that information saved on applications which have not been submitted before the updated form goes live will be lost. Please keep an eye on our website for notifications of when the update will take place.

If you have begun your application but cannot complete before the update goes live, we would advise you to print or save a copy of this information for use in your new application.

7. Will I be able to use my current password to access the new application form?

No. If you have been called forward to apply to register, and received a password prior to the update going live, then you will have to generate a new password in order to access the new application form.

This is very simple to do.  Go to the new online application, type in your email address (this will be the email that the Commission sent your call forward notification to) and click the button to issue a new password. Then follow the online instructions to receive your new password.

8. I have not yet been called forward to apply for registration – will the update impact me?

Organisations called forward to apply for registration after the update goes live will automatically be directed to the updated application form and guidance. This information will be provided in the email you receive calling you forward to apply. Therefore you do not need to do anything until you hear from the Commission.

9. I am using the Commission’s registration guidance to prepare for my application but won’t be submitting it until after 31 March 2016 – will I have to read new guidance?

The Commission will be updating its registration guidance to reflect the changes which will be made to the form, including publishing new application screenshots as soon as they are available.

However, as the information and documentation currently requested will not change just the order in which it is requested on the online system, updates to the guidance will be minimal and the current guidance will remain an important support for all applicants both before and after the update.

10. I started my application before 31 March 2016 but none of my information is saved onto the new application?

If you begin your application but do not complete and submit your application before the update goes live then any information you have input will be lost when the update to the application form goes live.

Please keep an eye on our website for notifications of when the update will take place.

If you have begun your application but cannot complete before the update goes live, we would strongly advise you to print or save a copy of this information for use in your new application.

11. Should I wait until after the update to submit my application?

If your organisation is ready to submit its application, the Commission would urge you to do so before 31 March 2016. This will support the Commission in managing the flow of registration applications and assessments.

12. I have submitted an application but the Commission has requested further information – will the update affect my application?

If you have already submitted your online registration application then the update will not impact your application as the Commission already holds a copy of the application you have submitted.
